Secretary:

  • Will keep minutes during committee meeting written and voice recorded, or ensure that another minutes person is appointed
  • lodging an annual statement with Consumer Affairs of Victoria within a month after the annual general meeting
  • applying to Consumer Affairs of Victoria to change the association's name or rules
  • notifying Consumer Affairs of Victoria of:
    • a change to the association's registered address
    • their appointment as secretary or any changes to their details
    • a special resolution to wind up the association or distribute its assets
  • dealing with requests to restrict access to information in the association's register of members
  • adding or removing delegates of the association
  • Distribute the meeting agenda to the committee 1 week prior to meeting
  • Schedule committee meeting 2 weeks in advance, on second Friday of the month or as otherwise agreed
  • Take care of apologies to the meeting

  • Record and action any correspondence
  • Act as nominated public officer in accordance with the requirements of Consumer Affairs of Victoria
  • Monitor committee member action points
  • Deal with correspondence, writing letters/ emails as agreed at committee meetings, summarising correspondence/ emails received at the next committee meetings and drafting replies as appropriate
